Compose Messages

In the Mailbox Menu, click Compose to begin writing an email.

A. Compose Actions

  1. Click Send Message to send your email to the intended recipient(s).
  2. Click Save Draft to place an unfinished message in the Drafts folder. You can find the Drafts folder through the Folders drop-down menu. After saving a draft, you will be returned to the Inbox or the folder that you viewed last. To complete an unfinished message, open the Drafts folder, open the saved message, and click Resume.
  3. Click Cancel Message if you no longer want to send or save a message. The Compose window will close.

B. Compose Fields

Addresses placed in the Compose fields (To:, Cc:, and Bcc:) must be separated by a comma. Other punctuation will result in an error. You can search for addresses to these fields by clicking Expand Names or Address Book.

C. Address Book

Click Address Book to search for and add recipients from My Addressbook file or the UMass Directory.

  1. Type a name or portion of a name into the Find field.
  2. Select an address book to search: My Addressbook or the UMass Directory. Click Search. Search results will appear in the box on the left. You can choose how you would like to view the results (by name or email address) in the Display drop-down menu.

D. Expand Names

Click Expand Names to search for and add recipients from the My Addressbook file or the UMass Directory. This function gives you quick access to email addresses from both locations.

  1. Before you begin using this function, you must set which address book(s) you would like Expand Names to search. To set this preference, go to Options in the Main Menu then click Addressbooks.
  2. Using the pointing hands in the center of the screen, transfer your address book(s) of choice from Available Addressbooks to Selected Addressbooks.

  3. To use Expand Names, open a Compose window and type a name or portion of a name into any of the To, Cc, or Bcc fields. To search for multiple addresses, separate each search with a comma.
  4. Click Expand Names to find this name or address. It could take a few seconds until results are returned.
    Click Expand Names in the Compose window.

  5. Select the email address(es) you would like to add to your recipient fields from the drop-down menu. Repeat steps 2 through 4 to search for other email addresses.
    Note: The message Please resolve ambiguous or invalid addresses. will remain at the top of the window, even after you have a selected an address.

E. Special Characters

Click Special Characters to insert symbols or accented characters into the text of your email.

  1. Select a character or symbol from one of the drop-down menus.
  2. Copy and paste the character from the text area to the text of your email.
  3. Click Close Window to return to Compose.

F. Save a Copy

Activate the check box next to Save a Copy in 'Sent' to save an individual email in the Sent folder. Unless specified in Options > Personal Information, this box will be checked by default.
Note: Saving sent mail will quickly take up space in your email quota. We recommend that you save only important messages.

G. Attachments

To attach a file:

  1. Type the name of the file in the Attachment field or click Browse to search for a file on your computer or other storage media. Click Attach.
    Note: For large files and/or slower Internet connections, the process of uploading and attaching a file may take a while. Please wait several minutes until the process is complete.
  2. When a file has been successfully attached to a message, the name of the file, its size, and its type (.jpg, .doc, etc.) will appear at the bottom of the page. If you cannot see this information, click Attachments in the Options section of the Compose window (next to Special Characters).
  3. To remove an attachment, activate the check box next to the file name and click Remove Selected.
