Address Book

Important Note! When logging in to UMail on the Web from the OIT Web site [http://www.oit.umass.edu], the bottom Mailbox Menu will not be displayed. To see this menu and have direct access to your Address Book, you must log in to UMail on the Web from the UMass Web site [http://umail.oit.umass.edu].

A. Access

To access the UMail on the Web Address Book and manage your contact list:

  1. Click Address Book on the bottom Mailbox Menu.
  2. In the Address Book, if no fields are visible, click Browse to display the contents of your Address Book.
  3. To return to the Mailbox Menu, select Mail from the bottom menu in the Address Book. Note: The UMail on the Web Address Book is distinct from those you may have with other email clients such as Outlook Express. Contacts added here will not show up in your other address books.

B. Browse

  1. Click any name (e.g., Abigail Adams) to view the contact entry associated with that name.
  2. Click any email address (e.g., abbie@xxxxxxx.com) to open a new Compose window with that email address in the To: field.

C. Add an Address

Click Add to create a new contact entry in your address book. All contacts will automatically be added to your personal address book, My Addressbook. The UMass Directory is read-only.

To add a contact:

  1. Fill in the fields you would like to save for the contact. Note: You can only add one of each type of information: one name, one email address, etc.
  2. Click Save to save the contact to your Address Book.

Note: You can also add email addresses to your contact list when reading an email. Just click on the book icon Add Address icon next to the email address to add this address to your contact list. To add other information about this contact such as street address and telephone number, click Browse in the Address Book menu and then click the correct Name.

D. Search

Click Search to perform a basic search in your Addressbook or the UMass Directory. This allows you to search the name or email fields only.

Note: To set this window as the default window when opening My AddressBook, go to Options > Display.

E. Advanced Search

Click Advanced Search to search for contacts in My AddressBook or in the UMass Directory. Searchable fields vary depending upon the address book being searched. Select an address book from the drop-down menu to view the fields available.

F. Import/Export

Click Import/Export to migrate contact information in various formats to and from your personal address book (My AddressBook).

To import an address book:

  1. Open the application containing the address book you would like to import (usually an email client such as Netscape Messenger or Outlook).
  2. Save the address book to your computer. How you save varies from application to application, but UMail on the Web supports Comma Separated Values (CSV), tab separated values, Outlook, vCard, and Mulberry formats.
  3. On the UMail on the Web Import/Export page, select the format of your saved address book.
  4. Select the file to import by typing in the file path and name or clicking Browse to find the file on your computer. Click Import.
  5. You will be asked to match the fields of the imported address book to the fields of the your personal address book (My AddressBook). To do so, select one field from each address book to make a pair. For example, email address in the imported address book matches email in the UMail on the Web address book. Click Add Pair and repeat this process until the fields you would like to import have a match. Then, click Import.
    Note: Some fields may not have a match and/or some fields may not have a one- to- one relationship.

If you have problems importing an address book, please contact the Help Desk at 545-9400. Importing address books may result in the corruption of your address book file if you do not match the fields correctly.

To export an address book:

  1. Select the format to export your address book to: comma separated values (CSV)or tab separated values. Click Export.
  2. You will prompted to open or save the file to your computer.
