Share Files & Folders With Non-UMass People

Use tickets to provide non-UMass users with access to your shared UDrive files and folders. To share files or folders with non-UDrive users, send them Email Links to Shared Files & Folders so they can access your shared content through the Internet.

  1. Open the directory you would like to share. See Navigate Folders for more information.
  2. In your directory listing, click the share icon (private icon) located in the Share column next to the name of the file or folder that you want to share. The Permissions on… screen for that particular file or folder will open.
  3. On the Permissions on… screen, click Tickets (top). The Tickets for… screen will open.
  4. On the Tickets for… screen, click Create Ticket. The Create Ticket for… screen will open.
  5. On the Create Ticket for… screen, from the drop-down menu in the top left corner, select Advanced (the menu is set to Basic by default). Additional permission options will appear on the screen.

  6. With the advanced ticket options, you can:
    • Determine the level of access that others have to the file or folder you are ticketing.
      1. Next to Define Permissions:, select Read Only if all you want users to do is view the content of your document.
      2. Select Read and Write if you want others to be able to modify or delete the ticketed item(s).
    • Determine the Lifetime of the ticket (i.e., how long others will have access to this content).
      1. To limit access to a particular time window, select the radio button next to the Limited to: field.
      2. In the Limited to: field, enter a number and select a unit of time (minutes, hour(s), days(s), etc...) from the drop-down menu.
      3. Select the radio button next to Unlimited to give others access to the file or folder you are ticketing without any time constraints.
    • In the Ticket Name field, enter a name for this ticket.
    • In the Ticket Password field, enter a password others will have to use in order to access the file or folder.
    • In the Confirm Password field, re-enter the Ticket Password.
  7. Click ok. The Ticket Granted screen will open, showing the URL for the ticketed file or folder.
  8. Copy and paste the URL (link) in an email message or click Email Link to open your default email software (e.g., Mozilla Thunderbird, Apple Mail, MS Outlook, etc.) and send the link to others.
    Note: If you only use web email clients (e.g. UMail on the Web, Hotmail, Gmail, Yahoo, etc.) or if you are using a computer that does not have email software set up (e.g. computers in OIT Computer Classrooms), you will have to copy and paste the URL into an email message.

    Important: Remember to give others the ticket password so they can access the file or folder you are sharing with them. You can include it in the email where you send them the URL, or in a separate message. When added security is necessary, you should consider giving others the password in person or over the phone.
  9. Use the bookmarks in the left menu bar to return to your main UDrive screen or, in the navigation toolbar, click the Back button.
  10. After you create a ticket, the icon in the Share column will change to share icon, indicating that the file or folder is now accessible to others.
