About Permissions

Permissions allow you to define the scope and type of access others can have to your UDrive documents. For example, you can share your UDrive files with specific individuals and groups, or make them publicly available. Some may have ‘read-only’ access to your documents, while others may view and modify your UDrive files and folders.

Permission Sets

Each file and folder in your UDrive account comes with three sets of default permissions, each corresponding to a specific audience:

  • Owners: as the owner of your UDrive files and folders, you have read, write, delete and administrative privileges.
  • Users with accounts: anyone on campus who has an active OIT Account also has access to UDrive. Choose this audience to make your UDrive content available to the UMass community. Note: Users from this group have to log on to their UDrive to access your shared files and folders.
  • Public: Choose this audience when you want to make your UDrive documents available to non-UMass users without any restrictions. These users will only be able to access your files if you give them the appropriate URLs. Learn how to email links to shared files and folders.

Permission Types

You can define the type of access others have to your UDrive documents by using the following permissions:

  • Read: Users can only view and copy the designated file or folder. They cannot move, rename, or edit the original document.
  • Write: Users can read and modify the original file or folder. They can rename, edit the document, and access the document’s properties and lock status.
  • Delete: Users can move the original document to the owner’s Trash folder.
  • Administer: The most powerful permission type that allows users to become the owners of a document. Users can read, edit, or delete the content and properties of the original document.

Inheritable Permissions

Any new file or folder that you create within an existing UDrive folder will inherit the parent folder's permissions. For instance, if your UDrive folder is accessible to the public, and everyone has read and write privileges, then any file or folder you create within this folder will have the same permissions.

To set inheritable permissions for a UDrive folder and its contents:

  1. Next to the folder whose permissions you wish to set, click the Share icon (private icon). The Permissions on... screen for this folder will open, listing the default permissions (typically, only the Owner will have Read, Write, Delete and Administer privileges).
  2. Adjust the level of access for the two remaining audiences (Users with accounts and Public) by selecting any of the Read, Write, Delete, or Administer check boxes.
    • Select Apply the changed permissions to this folder as well as its sub-directories and files. Any sub-folders and files will inherit these permissions.
    • Select Apply the changed permissions to this folder only if you want to apply these permissions only to this folder.
  3. Click Apply. The Confirm permission changes screen will open.
  4. On the Confirm permission changes screen, review your new permissions, and click OK to confirm the changes.
