Email Links to Shared Files & Folders

Once you give others access to your UDrive files or folders, you need to let them know how to retrieve them. Use your default email client to create an email containing a link to the shared file or folder.
Note:

  • Emails notifying users they have access to a shared file or folder are not generated automatically. You must create and send these messages.
  • Your email will only include a link to the shared file. The actual file will not be attached.
  • In your email, ask your recipients to bookmark the URL to your shared file or folder. Otherwise, they will only be able to access your file or folder from your email. Learn how to create bookmarks.

To find out the URL to your shared file or folder:

  1. In your directory listing, locate the file or folder for which you wish to create an email notification, and select the check box adjacent to its name.
  2. Set the appropriate permissions: the recipient(s) of your email should have access to this file or folder. A Shared icon (shared icon) should appear next to its name. Learn how to set permissions.
  3. Next, click the Manage icon (manage icon). The Manage: screen will open.
  4. On the Manage: screen:
    • Under Collaboration:
      1. Make sure the file or folder is Shared to everyone. (If the file or folder is Not shared, make sure you have shared it before you continue).
      2. The number of tickets you created for this file or folder appears in the Tickets field. If your recipients are non-UMass users, you should create a ticket for this file or folder. To do so, click the Tickets field name, then follow our instructions for creating tickets.
    • Under Folder Properties:
      Note: You may have to click Folder Properties for the Folder Properties menu to open underneath.
      1. Select the Full URL if you want your recipient to see the directory path to your shared file or folder.
      2. Select the Intellilink URL if you want your recipient to receive an abbreviated link to your shared file or folder. Note: Unlike a Full URL, an Intellilink URL will not wrap when you paste it into an email message. It may also be shorter than the Full URL.
  5. Copy and paste the Full URL or the Intellilink URL in a Compose message in your default email client. Include the ticket password if your shared file or folder has a ticket associated with it. Note: When added security is necessary, consider giving others the ticket password in person or over the phone.
  6. When accessing your shared file or folder, your recipients will be prompted for their NetID (OIT Account user name) and UMail password, if they are UMass users, or the ticket password, if they are non-UMass users.
