How to Scan Documents (Windows)

Scan Your Document

  1. Place your document squarely on the scanner bed, with the bottom of the image closest to you.
  2. On the front of the scanner press the large, Start button.
    Note: If pressing the Start button does not automatically start the scan, try pressing it again or, go to Start > Programs > Adobe Creative Suite > Adobe Photoshop CS, then in Photoshop go to File > Import > EPSON TWAIN 5… and skip to #6.
  3. The EPSON… (the name of the scanner attached to this computer) window will open.
  4. In the EPSON… window, make sure Photoshop Photoshop is highlighted in blue, and click OK.
  5. Adobe Photoshop will open.
  6. The EPSON TWAIN 5 window will open, and your document will begin to scan automatically.
    Note: The scanner starts in the last used mode, if you wish to scan the document automatically and the Manual Mode window opens, in the Manual Mode window click the Full Auto Mode button to begin scanning automatically.
    Note: If you are knowledgeable about scanner settings and wish to adjust them yourself, in the EPSON TWAIN 5 window click Cancel to stop the automatic scan and then click Manual mode… which opens the Manual Mode window, allowing you to enter your own options.
  7. When scanning is complete a dialogue box will ask Do you want to customize your color settings now? Click No.
  8. Your scanned document will open in Photoshop as an unsaved file called Untitled-1. See below for instructions on how to save your scanned document.

Choose a File Format

Save your document in a format and size that fits your needs. The default scan resolution of 300 ppi (pixels per inch) means that if you scanned a letter paper size document it will be approximately 20MB; much too large to attach to an email or put on a Web site. If you are not sure how you will use the image (e.g. PowerPoint, Web or print), or if you will use it for multiple purposes, begin with a high quality scan, and then resize copies in Photoshop for each particular use. Consult the tables below to help you resize your document.

  1. In Photoshop go to Image > Image Size…. The Image Size window will open.
  2. In the Image Size window, make sure the Constrain Proportions box is selected, then adjust the Resolution and Width/ Height (using Constrained Proportions changing one will change the other) to create the desired image size based upon the tables below:

Save Your Document

Make sure you have the space to save your chosen format to a Zip disk, USB thumb drive, or as an email attachment.

To save your image as a PSD, BMP or TIFF:

  1. Go to File > Save As. The Save As window will open.
  2. In the Save As window:
    • in the File Name field, enter a name for your image.
    • from the Format drop-down menu, choose your desired format.
    • in the Save In drop-down menu at the top of the screen, choose a location to save the file and click Save.

To save your image as a JPG or GIF:

  1. Go to File > Save for Web. The Save for Web window will open.
  2. In the Save for Web window in the Save column on the right side, select GIF or JPEG from the drop-down menu.
  3. Displayed underneath your image in the bottom left corner are: the type of file you have chosen (GIF or JPEG), the new size of the image in this format, and the time it would take the image to load on a dial-up connection (the Photoshop default for this is usually a 28.8 kbps modem). When you are satisfied with the size and appearance of the image click Save in the top right corner.
  4. In the Save Optimized As window chose a location to save to in the Save In drop-down menu, then enter a name for your image in the File Name field. Click Save.

Exit Photoshop

  1. Close your image (which unless you saved it as a PSD will still be called Untitled-1) by clicking the red Close Window icon in the top right corner. A dialogue box will open asking you whether you want to Save changes, click No.
  2. Go to File > Exit to close Photoshop.
